One of the hardest aspects of managing a digital signage network is on how you can send a quick message across all screens without changing the schedule.
With the Email to Screen App, you’ll be able to send a text-based message across one, multiple, or all players throughout your network, all via an email address.
What You’ll Need
- A Signature Care plan
- Access to an associated email account
- An admin email on your CMS account
First-Time Setup
To start, an admin on your account will need to associate email addresses on your CMS account to be able to send these emails.
- Access your “Account” settings by (1) hovering over your name at the top-right of the CMS.
- On the settings page, (2) locate the “Email To Screen” block and (3) click the pencil icon to begin editing (you may need to (4) toggle the app on as well).
- Click on (5) the field to see a list of admins on your account that you would like to be able to send these email notifications. Please note that non-admins on your account will not be able to access this feature.
- Click save then proceed to the “Add Media” module from the Navigation Bar.
Associating Emails To Players
- Under the (1) “Select Suite” category locate and click on (2) “Email To Screen” to load the app.
- First, you’ll need to associate the email accounts. Click on the (3) drop-down and choose the emails you would like to associate with the players.
Important Note: Email accounts and players can only be associated once per media item. In other words, you can only assign one email address once through the media item itself and then those emails/players will be locked if you try to add a new Email To Screen media to your library.
- Next, (4) select the devices you would like to associate with the email(s) you have chosen. These devices are the only ones that will display the announcement once you send the email.
- After, you can (5) adjust the Branding to your company’s color scheme.
- Lastly, you’ll need to (6) choose how you would like the announcement to show. We have three options available:
- Full – Takes over the whole screen and the message scrolls upwards
- Bottom – The announcement is located at the bottom of the screen and scrolls right to left.
- Top – The announcement is located at the top of the screen and scrolls right to left.
- You will also be able to change the opacity & the text alignment for the Subject/Body. We recommend a minimum opacity of 75% with the text alignment set as “Center”
- Now, all you have to do is (7) click “Preview” to make sure your setup looks good to you, (8) Name this media, and then (9) click save to add it to your media library.
Sending The Announcement
- Now that you’ve set up the media item, you’ll be able to send emails from your chosen account(s) to display the announcement on the associated player(s).
- To do this, log onto an email account that you set up in the first step of this guide. Then, compose a message with the following attributes:
- The email will be sent to: alerts@mydigitalscreens.info
- For the subject line, you will need to follow an exact format to ensure that it is properly received by the CMS. For example: [60s] Here Is Your Test Subject Line
- In the brackets, this will be the amount of seconds you would like the announcement to show. The minimum is 60.
- If you would like to set the announcement to show for a specific time on the same day instead, you should use this format: [1325-1500] Here is Your Test Subject Line
- In the brackets, this will be the amount of seconds you would like the announcement to show. The minimum is 60.
- In the body of the email, put the text of the announcement. Please note that images will not work. Below is an example of a completed email.
- Once you send the email, you will receive one of two responses from notification@cms.mvix.com. These are:
- A confirmation email that the CMS has received your request and the announcement will display shortly.
- A rejection email that will let you know which parts of the email have formatting issues and need to corrected.
- If you do not see the email in your inbox, please be sure to check your spam box as well.
- If you received the confirmation email then congratulations! Your announcement is now showing on your players.
Important Note: Once an announcement is set out, the message cannot be cancelled, even by resetting the player.
